Job Responsibilities

  • Manage the GM's calendar, schedule appointments, and coordinate meetings.
  • Prepare meeting agendas, take minutes, and distribute them to participants.
  • Handle correspondence, including drafting and editing emails, letters, and other documents.
  • Maintain a systematic filing system for documents and records.
  • Prepare expense reports and make travel arrangements for the GM.
  • Serve as the primary point of contact for internal and external stakeholders, ensuring professional and timely communication.
  • Screen phone calls, inquiries, and requests, providing appropriate responses or redirecting them to the relevant individuals.
  • Coordinate and facilitate communication between the GM and various departments, ensuring effective information flow.
  • Organize and coordinate executive-level events, conferences, and business trips.
  • Handle sensitive and confidential information with utmost discretion and professionalism.
  • Maintain the confidentiality of executive-level discussions, decisions, and company strategies.
  • Protect the GM's privacy and handle sensitive matters with tact and diplomacy.
  • Prepare and maintain accurate records, reports, and presentations.
  • Assist in the preparation of executive-level reports, presentations, and business plans.
  • Compile and analyze data as required, providing insights and recommendations to support decision-making.
  • Ensure the smooth running of the GM's office, including managing office supplies, equipment, and facilities.
  • Coordinate and monitor administrative projects and initiatives.
  • Collaborate with other support staff to optimize office efficiency and effectiveness.
  • Perform other department duties related to his/her position as directed by the Head of the Department

Qualifications

  • Business Administration, Human Resources, Office Management.
  • Professional certification in office administration or executive assistance.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), email and calendar management
  • Executive support, administrative management, office operations.

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), email and calendar management
  • Experience with document management systems, customer relationship management (CRM) software, and project management tools
  • Knowledge of automotive industry terminology, familiarity with industry-specific software systems or databases.
