Job Responsibilities

Manage the GM's calendar, schedule appointments, and coordinate meetings.
Prepare meeting agendas, take minutes, and distribute them to participants.
Handle correspondence, including drafting and editing emails, letters, and other documents.
Maintain a systematic filing system for documents and records.
Prepare expense reports and make travel arrangements for the GM.
Serve as the primary point of contact for internal and external stakeholders, ensuring professional and timely communication.
Screen phone calls, inquiries, and requests, providing appropriate responses or redirecting them to the relevant individuals.
Coordinate and facilitate communication between the GM and various departments, ensuring effective information flow.
Organize and coordinate executive-level events, conferences, and business trips.
Handle sensitive and confidential information with utmost discretion and professionalism.
Maintain the confidentiality of executive-level discussions, decisions, and company strategies.
Protect the GM's privacy and handle sensitive matters with tact and diplomacy.
Prepare and maintain accurate records, reports, and presentations.
Assist in the preparation of executive-level reports, presentations, and business plans.
Compile and analyze data as required, providing insights and recommendations to support decision-making.
Ensure the smooth running of the GM's office, including managing office supplies, equipment, and facilities.
Coordinate and monitor administrative projects and initiatives.
Collaborate with other support staff to optimize office efficiency and effectiveness.
Perform other department duties related to his/her position as directed by the Head of the Department

Qualifications

Business Administration, Human Resources, Office Management.
Professional certification in office administration or executive assistance.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), email and calendar management
Executive support, administrative management, office operations.

Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), email and calendar management
Experience with document management systems, customer relationship management (CRM) software, and project management tools
Knowledge of automotive industry terminology, familiarity with industry-specific software systems or databases.
