Job Responsibilities

Organize and maintain physical and electronic filing systems, ensuring documents are appropriately categorized, labeled, and stored for easy retrieval.
Receive, sort, and distribute incoming mail, faxes, and other documents, and process outgoing mail as required.
Scan and digitize paper documents, ensuring proper indexing and organization in electronic filing systems.
Maintain accurate and up-to-date records, including customer information, vehicle registrations, warranties, service records, and other relevant documents.
File and retrieve documents promptly and accurately, ensuring confidentiality and security of sensitive information.
Monitor and track the movement of files and documents, ensuring they are returned to the appropriate location after use.
Assist various departments in locating and retrieving documents, providing timely support for business operations, audits, and customer inquiries.
Follow established procedures for document retention and disposal, ensuring compliance with company policies and regulatory requirements.
Conduct periodic audits of filing systems to ensure accuracy, completeness, and adherence to filing standards.
Assist in the development and implementation of document management policies and procedures to improve efficiency and organization.
Collaborate with other administrative staff to coordinate and support document-related activities and requests.
Provide administrative support as needed, such as photocopying, faxing, and preparing documents for distribution.
Maintain inventory of office supplies related to filing and document management, placing orders as necessary.
Stay updated with changes in document management technology and best practices, recommending and implementing improvements as appropriate.
Adhere to privacy and data protection policies to safeguard confidential information and maintain compliance with relevant regulations.
Maintain a clean and organized work area, ensuring the integrity and preservation of physical files and documents.
Communicate effectively with colleagues, departments, and external stakeholders to facilitate document-related processes and requests.
Participate in training and development activities to enhance skills and knowledge related to document management and administrative tasks.
Contribute to a positive and collaborative work environment, promoting teamwork and effective communication.
Adhere to company policies, procedures, and code of conduct in all aspects of work.
Perform other department duties related to his/her position as directed by the Head of the Department

Qualifications

Proficiency in basic computer operations (e.g., file navigation, data entry)
Familiarity with office productivity software (e.g., Microsoft Office Suite)
Strong attention to detail and accuracy.
Excellent organizational and time management skills.
Ability to maintain confidentiality of sensitive information.
