Job Responsibilities

  • Greet customers in a friendly and professional manner upon their arrival at the dealership or service center.
  • Assist customers with any initial inquiries, such as appointment scheduling, service requests, or general information.
  • Provide a warm and welcoming environment, ensuring customers feel valued and comfortable.
  • Direct customers to the appropriate departments or service areas based on their needs and appointments.
  • Manage customer inquiries and requests via phone calls, emails, or in-person interactions.
  • Effectively communicate and coordinate with various departments to address customer needs and resolve issues.
  • Keep track of customer appointments and ensure smooth scheduling and coordination with service advisors.
  • Provide basic product information to customers and direct them to sales representatives for further assistance, if needed.
  • Maintain a professional and courteous demeanor when dealing with customer complaints or concerns.
  • Inquire about and assess customers' requirements and needs.
  • Offer hospitality/ refreshments and ensure customers feels comfortable and attended to.
  • Introduce customer to welcome area and any relevant digital media.
  • Ensure a pleasant experience for the customer overall.
  • Transmit a positive attitude even during critical situation.
  • Always manage and maintain an overview of the capacity of the showroom and service lobby.
  • Manage overall coordination of showroom and service reception visitors.
  • Ensure that main customers contact area are always clean and in perfect condition.
  • Ensure all digital signage in the showroom & service reception is in perfect condition.
  • Match customer to their appointments via SPOT flow system.
  • Assign customers to relevant sales consultant/Product Expert/Service Advisor.
  • Create customer profiles and update customer info & insights to provide most current/ relevant descriptions of requirements.
  • Prepare & aware any appointment bookings in advance & is prepared for customers arrival.
  • Able to sense, understand and assess the customer's main requirements/interest.
  • Act as the link between various functions within the showroom & service reception.

Qualifications

  • Customer service training, telephone etiquette, administrative courses.
  • Experience in the automotive industry or a related sector (e.g., retail, hospitality)
  • Prior experience in a customer service or administrative role.
  • ability to work independently and as part of a team
  • flexibility to work in a fast-paced environment
  • good problem-solving skills, punctuality and reliability.
  • strong organizational skills

Experience

Minimum 2 years relevant experience
