Job Responsibilities

Assist in the maintenance and management of company documents, including filing, organizing, and archiving.
Support the Document Controller in implementing document control processes and procedures.
Ensure proper version control and distribution of documents, maintaining document logs and trackers.
Collaborate with cross-functional teams to collect and review documents for accuracy and completeness.
Conduct regular audits and checks to ensure adherence to document control policies and standards.
Assist in the preparation and formatting of documents, ensuring consistency and compliance with company branding and style guidelines.
Support the retrieval and retrieval of documents as needed, ensuring timely and accurate access to information.
Assist in the implementation and utilization of document management systems or software.
Provide training and guidance to employees on document control procedures and best practices.
Ensure compliance with regulatory requirements and industry standards in document management and record-keeping.
Assist in the preparation of reports and presentations related to document control activities.
Collaborate with internal and external stakeholders to address document control-related queries and issues.
Contribute to the continuous improvement of document control processes and systems.
Stay updated on industry trends and best practices in document control and management.
Maintain confidentiality and handle sensitive information with the utmost discretion.
Perform other department duties related to his/her position as directed by the Head of the Department

Qualifications

Document controller certification

Skills

Basic Ms Office Suites
Strong communication skills
Ability to organize, categorize and maintain document libraries.
Document control software

Experience

Education
